Privacy notice
This notice covers partners.robocode.uk. It explains what we collect when you enquire or use the partner portal, why, and what you can ask us to do about it.
Who we are
RobocodeUK Limited, registered in England and Wales, is the data controller. Contact us at partnerships@robocode.uk.
What we collect when you enquire
Only what you type into the enquiry form: your full name, your organisation, your email address, your phone or WhatsApp number, your country, your region or city, which part of the offer interests you, how many students you expect in year one, your timeline, your education experience, and anything you write in the message field. We also record the date and your browser's user agent string.
We do not ask for and do not want financial account details, identity documents or anything about your health.
What the calculator collects
Nothing. The licensing calculator runs entirely in your browser. Nothing you configure is sent to us unless you carry it into the enquiry form yourself. The only thing it stores on your device is the day's currency reference rates, so it does not fetch them again on every visit.
The partner portal
If you have a partner account, signing in creates an authenticated session held in your browser. Scenarios you choose to save, and the proposals you generate, are stored against your account so you can come back to them. Portal accounts are created by the partnerships team, never self-registered.
Why we collect it
To reply to your enquiry, price a licence or an international franchise for your market, and have a conversation about whether a Robocode partnership suits you. Our lawful basis is your consent, which you give by ticking the box, and our legitimate interest in responding to a business enquiry you started. For portal accounts the basis is the contract, or the steps leading to one.
Where it goes
Your enquiry is stored on our server in the United Kingdom, in our Supabase database hosted in the European Union, and it arrives as an email in our Microsoft 365 mailbox. It is seen by the Robocode partnerships team. We do not sell it, and we do not pass it to any third party for their own marketing.
How long we keep it
Twenty-four months from your last contact with us, unless you become a licensee or an international franchisee, in which case your records are kept for the life of the agreement and for six years afterwards to meet our legal and accounting obligations. Ask us to delete it sooner and we will.
Cookies and analytics
We use PostHog, hosted in the European Union, to understand which pages people read and which of them lead to an enquiry. It is configured without advertising cookies, without cross-site tracking and without session recording, and it stores its identifier in your browser's local storage rather than in a cookie. That is why this site does not interrupt you with a cookie banner: there is nothing here that needs your consent beyond what makes the site work.
What it records is page views and a small number of named actions: submitting the enquiry form, opening the calculator, choosing a tier or a currency, searching for a territory. It does not record what you type into the form. That reaches us only when you press send.
The other things kept in your browser's local storage are the currency rates described above and, if you sign in, your portal session.
Your rights
Under UK GDPR you can ask for a copy of what we hold, ask us to correct it, ask us to delete it, object to how we are using it, or withdraw your consent at any time. Email partnerships@robocode.uk and we will respond within one month. If you are not satisfied you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
If we change this notice we will update this page. It was last reviewed in August 2026.
